Microsoft 365: A modern, scalable business solution

Microsoft 365

As an IT systems house, we help you introduce the right Microsoft 365 subscription for your company. Beyond that, as your administrator we take care of procurement, migration, IT support and the monitoring of your systems.

Microsoft – still indispensable for businesses

Microsoft remains the leading software manufacturer worldwide. As the market leader, Microsoft solutions still offer the most interfaces, e.g. to your 3CX phone system as well as to the most common CRM and ERP systems.

But with the wide range of offerings and the comprehensive support, it can be a challenge to keep track of everything. As an IT systems house, we can help you approach the complex planning of your setup properly and in a structured way right from the start, creating a lean, clear structure so you can get the best out of the Microsoft products for your company.

Below, we introduce you to Microsoft 365 — a software solution that scales to your company size and your needs, and one that fully meets today’s requirements for Modern Work: a productive, digital workplace.

“If you have any questions about Microsoft 365 and implementing this solution in your company, feel free to get in touch!”

What is the difference between Office 2021 and the Office included in Microsoft 365?

Office 2021 can be part of Microsoft 365, but Microsoft 365 offers considerably more beyond that. While both provide a variety of office applications such as Word, Excel and PowerPoint, the difference between Microsoft 365 and the pure Office package is that

Office 2021 is a one-time purchase version of the Office software. Users receive updates for it for around 5 years. After that, the then-current version has to be purchased again. In addition, the use of the purchase version is limited to a single device (PC or Mac) and it cannot be used on mobile devices.

With Microsoft 365 in the subscription model (with the Office package), you can always use the latest Office version. Using an online version (Software as a Service (SaaS), i.e. without installation) is also possible. Licensing is always per user and can therefore cover up to 15 devices as well (5 PCs or Macs, 5 tablets and 5 mobile devices).

Unlike the pure Office package, Microsoft 365 is always up to date, usable on multiple devices and on the go.

Microsoft 365 benefits

  • A combination of online and offline applications

  • Promotes effective collaboration

  • Always the latest software version

  • Modern workplace: relevant data with you everywhere

  • Scalable and GDPR-compliant

  • High security standards and continuous updates

  • Predictable costs thanks to the subscription model

  • No more Exchange server needed, since everything is in the cloud

Why is Microsoft 365 interesting for businesses?

Why is Microsoft 365 interesting for businesses?

Working from home in the morning, then heading off on a business trip or customer visit, and later taking care of further tasks at the office – this is what everyday work looks like in many companies. Through its cloud solutions, Microsoft 365 makes the familiar programs used every day available on all mobile devices worldwide. These programs can also be used offline and easily synchronized later via the internet.

The modern working world brings many challenges: some employees work entirely remotely (from home) and still need to be seamlessly integrated into their work groups. Microsoft 365 products such as Teams and SharePoint make efficient collaboration and communication in decentralized work groups considerably easier.

Problems quickly arise in companies when tools and software do not work together smoothly – making work harder and reducing productivity. Microsoft 365 offers a highly attractive collection of software applications, features and services that interact well with one another.

Microsoft 365 products are not only compatible with Windows but also with the operating system from Apple, and are available via the matching app version on iPhones, Android phones and tablets.

Microsoft 365 makes it easy to adapt licenses to your current needs. It thus offers a versatile and scalable solution for small, medium-sized and large companies.

Microsoft 365 is not just one piece of software – it is a collection of different solutions

What are the most important Microsoft 365 solutions?

Microsoft 365 offers a wide range of solutions tailored to the needs of companies of every size. Below, we highlight some of the most important ones for you:

Word, Excel,
PowerPoint

Outlook

OneNote

SharePoint

OneDrive

Teams

Copilot

Entra ID

Word, Excel and PowerPoint

Everyone knows the classic products for word processing, spreadsheets and creating presentations. These are, of course, also available in Microsoft 365.

Outlook

Outlook is an email and organization software. Thanks to its user-friendly interface, Outlook lets you handle emails, calendars and contacts efficiently. You can structure your inbox and outbox to suit your needs using filters, rules and categories.

The integrated calendar also helps you keep track of your appointments, tasks, meetings and important events at all times – or even share them with others. You can also book conference rooms within your company via Outlook. Another great feature: tasks can be prioritized in a to-do list, and you can search for people, messages and documents in a flash.

OneNote

OneNote is an extremely practical digital notebook that lets you insert text, images, handwritten sketches, tables, charts and multimedia content as you like. You can also share this content with others in real time, so there are no limits to creativity and collaboration in your company.

SharePoint

To optimize information sharing and collaboration within the company, SharePoint offers an ideal solution with its extensive features. Documents can be created, managed, shared and edited simultaneously by several people across departments (the version history is displayed). Many companies also use SharePoint sites as an intranet, as a project management platform, for blogs or as a knowledge base (wiki).

The big advantage is that relevant data is brought together in one central place, where it can be managed and accessed jointly. Through access permissions, employees receive the appropriate level of access. In addition, SharePoint also enables the secure exchange of documents and information outside the organization.

OneDrive

At first glance, SharePoint and OneDrive do not really differ. Both are storage locations for files. But a closer look reveals differences and dependencies.

First of all, the key difference is that OneDrive is the storage location for your own files – essentially your personal workspace. SharePoint, on the other hand, holds company files that are used jointly. You can also share individual folders and files from OneDrive with others. Since there is no dedicated desktop client for SharePoint, SharePoint files are managed and synchronized directly via OneDrive.

Teams

Teams is a powerful collaboration tool with chat, telephony and video conferencing. You can interact with individuals as well as entire teams. Files provided via SharePoint or OneDrive can be edited together in real time. In addition, Outlook is seamlessly integrated into the Teams environment.

The flexible use of Teams enables you to collaborate both within your company, and with customers and other external partners. Participants can join your Teams meetings via the browser on any mobile device, without any prior installation being required.

Numerous extensions, provided both by Microsoft itself and by other external providers, allow further solutions to be integrated into Teams (e.g. Zoom, Trello, Slack, Mural, etc.).

Copilot and Microsoft Power Platform

Microsoft has also integrated AI into its solutions. Microsoft 365 users can get support from Copilot, an AI tool comparable to ChatGPT. It can optionally be added to the Office suite and, thanks to its integration into Microsoft 365, offers extensive possibilities.

With its AI-supported solutions such as Power BI, Power Apps, Power Automate and Power Pages, Microsoft Power Platform offers versatile options for analyzing and visualizing company data. In addition, recurring business processes and workflows can be fully or partially automated with the help of AI.

Entra ID (formerly Azure Active Directory or AzureAD)

In a classic network, users and their permissions are managed via a domain controller on a physical server. However, since this can only serve users within the local network, a location-independent setup requires a cloud solution.

For this, Microsoft 365 now offers Entra ID, formerly Azure Active Directory (AzureAD). In many cases, this means a local server is no longer needed.

Is Microsoft 365 secure?

Yes, Microsoft is secure, because it guarantees high standards of IT security, data control, availability, resilience and data protection. Since 2019, Microsoft has been operating data centers in Germany, which means the data of its German 365 business customers is automatically stored in Frankfurt and Berlin. As a managing director, this allows you to meet your legal GDPR obligations.

Our experience shows: companies are increasingly losing their reservations about the cloud. This results above all from the need to access data flexibly, on the move and regardless of location. On the other hand – and this is particularly important when using the cloud – they value the included security features and the regular, automated security updates.

Combined with the security measures of your IT systems house, such as proactive IT support, a managed firewall, a password manager and, above all, an audit-proof backup strategy – including for Microsoft 365 – you are well equipped as a company!

Statistics prove that data in cloud solutions is more secure than in on-prem (local) solutions.

IT security is an ongoing process.
