The quote is in the mailbox, the order confirmation in the accounting system.
And before anyone can even reply, the search for the right information begins.

This situation is everyday reality in many small and medium-sized companies, because they usually work with a great many different systems. Each individual system works well, but in coordinating them unnecessary detours and friction arise. At the same time, many of these systems take a very comprehensive approach: they offer a wide range of functions in order to cover as many requirements as possible. In practice, however, this often means that only part of them is actually used, while other areas remain unnecessarily complicated and therefore unused.

We too worked with existing solutions for a long time – much of it made sense.
Over time, however, it became clear: Our processes had increasingly adapted to the systems, instead of the other way round.

The result: information was recorded multiple times, data was transferred between systems and queries arose despite the content already being available.
Clear processes were able to compensate for this to a large extent. But in the long run it led to lost time and increasing complexity.

We no longer wanted to accept this and started right here.
In short: we developed our own ERP system and integrated AI.

We asked ourselves not from a technical perspective, but from the perspective of everyday work:

What would our processes look like
if we were to redesign them today?

Our goal was clear: provide information exactly where it is needed, link processes sensibly and reduce unnecessary work.
We therefore developed a completely new ERP that maps our processes exactly and is designed to be intuitive to use in everyday work without extensive training; new employees find their way around quickly and processes are largely self-explanatory.

Today, ticket, quote, documentation and invoicing interlock seamlessly – without the system switching that used to be the norm. We now have less coordination and faster response times.

This has an effect not only internally – customer enquiries can also be processed in a much more structured, transparent and faster way as a result.

We use AI and automation specifically where they help us in our day-to-day work.

Integrated AI works in the background and helps at the points where time is lost in everyday work:

  • when structuring and closing tickets,
  • when creating and checking quotations and
  • when compiling documentation.

Especially with recurring tasks, this provides more clarity, fewer errors and noticeable relief in day-to-day business. To make these functions directly usable, we have integrated AI and automation directly into our work processes.

In addition, an AI-supported help function can be called up via a button exactly where the need arises – quickly, in context and without interrupting the workflow.

This creates real relief in everyday work:

  • less searching,
  • less coordination and
  • more focus on the actual work.

For us, one thing is clear: AI is a tool that complements us in our daily work –
not replaces us.

This creates transparency, reduces coordination effort and makes processes easier to follow for everyone involved.

Conclusion

Not every company needs a customised ERP system.
However, a closer look is always worthwhile when many systems interlock and friction losses arise as a result.

Our experience shows: an ERP system with integrated AI that is based on actual workflows can simplify processes considerably and noticeably ease the daily workload.
We rethought our processes because we saw that many things can be solved more simply.
The complexity does not disappear as a result – but it can be structured and managed better.
